The record is the spine

One place, not five

Most shops keep their history in five places: the owner's memory, a filing cabinet, a tech's camera roll, a voicemail box, and a spreadsheet. The record replaces all five. It is the customer, the property, and everything that has ever happened there, and every other part of the system hangs off it. The board schedules against it. The estimate is written onto it. The invoice closes on it.

What accumulates on the record

• Jobs

  Every visit, with who went, when, and what was done.

• Photos and notes

  The crawlspace, the nameplate, the note about the dog and the gate code.

• Equipment

  The water heater's age and model. The furnace that was already old last winter.

• Estimates and invoices

  What was quoted, what was approved, what was paid.

• Calls and texts

  The conversation that booked the job, attached to the job it booked.

The property, not just the person

History hangs on the property as well as the customer, because the two split. A house sells and the family moves out, but the water heater stays. The next owner calls about the same slow drain. A landlord owns six properties and each one has its own equipment, its own access notes, its own history. The record keeps them straight so the tech never arrives at the wrong story.

What the tech reads before the door

• The history

  Last visit, last complaint, what was quoted and declined.

• The equipment

  What is installed, how old it is, what it has needed before.

• The photos

  The shutoff's location. The panel behind the paint cans.

• The access notes

  Gate code, lockbox, the dog's name, which door to knock on.

The record is equity

A company whose history lives in the owner's head is worth less than the same company with a record. The record is what a buyer buys, what a new hire inherits, and what lets the owner take a week off. Every job the crew closes adds to it without anyone doing paperwork. That is the point: the record builds itself from the work.
